Constitution

Mission:

     Promote awareness of Engineering fields and other fields. Promote education, encouragement and self-confidence in math and science. Foster a sense of commodity through mentoring and community service. Promote a community between non-Hispanic and non-engineering fields.  

Goals:

Continuos on campus recruiting throughout the year.  

Increase participation in Region I and National Events.  

Make the student chapter more visible, both on and off campus by: Holding College informational Session at local High Schools Mentoring and tutoring at local school sites Networking with industries

Association with UOP MESA Pre-College Program

Section 1: Regular Membership

     Members of SHPE do not have to be Hispanic or engineering students. SHPE at UOP is opened to any individual who wishes to participate in making the mission statement a reality and wishes to carry out the clubs goals.

Regular members shall meet the following criteria:  

a.   Must have signed the membership list and have paid the existing SHPE-UOP yearly membership dues.

b.   Must attend a minimum number of meetings ( 75% as of the present date) and on/off campus activities. Roll call will be taken at every meeting in order to keep record of attendance.

      c.   Valid excuse(s) must be documented in order to receive the benefits.

    "Members in good standing" shall be defined as those who have met the criteria for each of the membership categories and have at least met the minimum number of meetings. These members shall receive the following benefits:

                  a.    Notices of meetings, programs, social events, job fairs and workshops.

                  b.    Opportunity for professional and community involvement.

                  c.   Access to job announcements and scholarships.

Section 2: Officers,

     The officers of the organization shall be: Co-Presidents, Treasurer, Secretary, Publicity, Historian and AES Representative.

The Co-Chair/President shall:

                       a.  Preside over all meetings.

       b.  Facility meetings- time and place.

       c.  Be the official spoke person for SHPE-UOP at any campus related activities.

       d.  Call special meetings in case of an emergency.

       e.  Insure all officers fulfill the duties and responsibilities.

       f.  Network with Regional and National Representatives.

       g. Network with the secretary of the club for the creation of the agenda.

       h.  Oversee the preparation of budget request and event reports.

       i.   Keep contact with SHPE advisor on any updates.

The Secretary Shall:

a.   Keep records of meetings, memberships and correspondence. All records shall be available to all members.

      b.  Type and send letters as needed by any of the other officers.

c.   Be responsible for organizing election procedures for the semester following his/her term.

The Treasurer Shall:

      a.  Assume responsibility of collection and disbursement of monies.

      b.  Prepare financial reports monthly or when called for at a previous meeting.

c.   See that all financial records are available upon request by and SHPE-UOP student within one day from the day of request.

d.   Each semester, submit a budget to the Associated Engineering Students for review and approval.

e.   Have the authority to request funds from SHPE-UOP account with the approval of the President.

f.    Prepare an end-of-semester report for the group and present it at the last meeting of the semester.

The Publicity Person Shall:

      a.  Take responsibility of publicizing the organization's meetings and events.

      b.  Organize and direct membership drives.

      c.  Register the new officers of the organization with the Office of Student Life at the University of the Pacific as changes occur every semester.

      d.  Responsible for taking pictures/film of events. As well as updating the bulletin board in  Baun Hall.

The Historian Shall: (When applicable)

                  a. Keep record of the events. The record should be composed of a summary of the event,                   the name of the members in the organizational committee, date, time, place and the                   attendees.

                  b. These records should be kept in a folder so that the President/Secretary can refer to them at the end of the year for the Regional End of the Year Report.

The AES Representative Shall: 

a.  Attend all AES (Associated Engineering Students) meeting and be the official spokesperson for SHPE at these meetings.

      b.  Report all information from AES to members at SHPE meetings.

Section 3: Meetings

Regular Meetings Shall:

                 a.  Be held as decided upon by the Presidents, with one week notification through phone  calls, or publication of flyers.

Emergency/Special Meetings Shall:

a.  May be called by the Co‑Presidents. Members shall be notified by phone or e-mail as far ahead of time as possible.

A Quorum Shall:

a.  A quorum consist of the majority of the officers (three of five) and six other regular members. No decisions will be taken without a quorum present.

b.  Expectation of this rule would be if absolutely necessary and with advisor present.

Section 4: Elections

Elections Shall:

a.  Only regular members in good standing shall be eligible to vote and hold positions in any of the offices.

                  b. Nominations shall be open for one week and voting will take place during the week thereafter.

c.  Nominations and elections shall take place at the beginning of every year. Nominations for Co-presidency shall be taken at the end of the year.

      d.  Voting will be done by secret ballot.

e.  The Secretary or a person not running for office shall be appointed by the president to tally the votes.

Section 5: Impeachment

Grounds for Impeachment:

      a.  Lack of performance of their duties as an officer.

      b.  embezzling of funds.

      c.  Scandalous acts.

d.  For impeachment to be accountant for their needs to be all officers present as well as a 2/3 vote by "good standing" members.
